Promotion of Access to Information Act, 2000 (PAIA) — example manual for CRS Test System

This manual describes the records held by Coded Roots Software (Pty) Ltd and how to request access to information in terms of PAIA. Every private body in South Africa must compile and make available a PAIA manual.

2. Guide on how to use PAIA
The Information Regulator publishes guidance on how to submit PAIA requests. See www.justice.gov.za/inforeg (Information Regulator).
3. Records available in terms of other legislation
Examples of legislation that may require certain records to be kept include:
- Companies Act, 2008 — company records and beneficial ownership registers (CIPC).
- Protection of Personal Information Act, 2013 — processing of personal information.
- Basic Conditions of Employment Act and Labour Relations Act — where employment records exist.
- Tax legislation — financial and tax records where applicable.
4. Categories of records held (summary)

5. Request procedure
- Complete a PAIA request form (Form 2) or submit a written request with sufficient detail to identify the record.
- Send the request to tyrone@codedrootssoftware.co.za or the registered address above.
- We will acknowledge receipt and respond within the timeframes prescribed by PAIA, subject to applicable fees and exemptions.
6. Fees
Request fees may apply as prescribed in PAIA regulations. You will be informed of any fee before processing continues.
7. Remedies
If you are dissatisfied with our decision, you may lodge a complaint with the Information Regulator or apply to a court as provided in PAIA.
8. Annual PAIA report
We submit an annual report to the Information Regulator by 30 June each year detailing information requests received, as required by law.
